Automated School Transport Fee Collection and Payment Tracking

RouteCabin supports four payment methods out of the box: JazzCash, EasyPaisa, bank transfer and cash. For digital payments, parents receive a payment link via WhatsApp and complete the transaction from their phone. Bank transfers are matched automatically using unique reference numbers generated for each voucher. Cash payments are recorded by drivers or admin staff through the app and a digital receipt is sent to the parent immediately.

When a fee becomes due, RouteCabin sends the parent a WhatsApp message with the voucher details and a payment link. If the fee is not paid by the due date, the system automatically sends reminder messages on a schedule you configure. You can set up escalation sequences starting with a gentle reminder, followed by a firmer notice and finally a last warning. You can also send reminders manually to individual parents or in bulk with a single tap from the defaulter dashboard.

Yes. RouteCabin lets you configure fee amounts at the route level. Each route can have its own monthly fee based on distance, fuel costs and operational expenses. You can also set student-specific overrides for siblings with discounts or students on scholarship. When vouchers are generated each month, each student's fee is calculated based on their assigned route and any individual adjustments.

Once a fee's due date passes without payment, the student is automatically flagged as a defaulter. The defaulter dashboard shows all overdue students sorted by how many days they are past due. You can see the outstanding amount for each student and send WhatsApp reminders individually or to all defaulters at once. RouteCabin also keeps a history of each student's payment behavior so you have full context during parent meetings or when deciding whether to continue transport service.

Yes. RouteCabin supports partial payments. If a parent cannot pay the full monthly fee at once, they can make a partial payment and the remaining balance stays on their account. The system tracks the outstanding amount and continues sending reminders for the unpaid portion. Both the parent and admin can see the payment history showing each installment, making reconciliation straightforward.
